How we handle your information
We hold tax, payroll and financial records on behalf of our clients. This page sets out what we collect, why, and the protections that apply.
This policy is a starting template written for a US CA practice. Before publishing, have it reviewed by counsel and confirm the specifics — your legal entity name and address, retention periods, the vendors you actually use, and any state privacy laws that apply to your client base.
Who we are
TAXandBiz is a Chartered Accountant (CA) practice providing company incorporation, accounting, taxation, and legal compliance services to individuals and businesses across the United States and globally.
This policy explains what information we collect when you visit this website or engage us as a client, why we collect it, and the choices you have. If you have questions about anything here, contact us at jayesh@taxandbiz.com.
Information we collect
We collect information in two situations: when you contact us through this website, and when you engage us to perform professional services.
Information you give us directly:
- Contact details such as your name, email address, phone number and business name.
- The content of messages you send us, including anything you choose to describe about your business or tax situation.
- Engagement information needed to perform the work: tax returns, financial statements, bank and credit card records, payroll data, entity documents and government identifiers such as SSN or EIN.
Information collected automatically when you browse:
- Standard server log data, including IP address, browser type, pages requested and timestamps.
- Basic device information used to render the site correctly across screen sizes.
How we use your information
We use the information we collect only for the purposes below:
- To respond to your enquiry and, if you choose to proceed, to scope and price an engagement.
- To perform the professional services you have engaged us for, including preparing and filing returns with the IRS and state tax authorities.
- To meet our legal, regulatory and professional record-keeping obligations as a Chartered Accountant practice.
- To operate, secure and improve this website.
We do not sell your personal information, and we do not use client tax or financial data for advertising or marketing of any kind.
Confidentiality of tax information
Tax return information receives specific protection under federal law. Internal Revenue Code section 7216 restricts how tax return preparers may use or disclose the information you provide for the preparation of your return.
We will not disclose or use your tax return information for any purpose other than preparing and filing your return, or as otherwise permitted by law, without your prior written consent.
Separately, communications with us in our capacity as a federally authorized tax practitioner may be subject to confidentiality protections under IRC section 7525. These protections have limits — notably, they generally do not extend to criminal matters or to the preparation of tax returns themselves.
Data security and retention
We use encrypted document exchange, access controls and reputable software vendors to protect the information in our care. No method of transmission or storage is completely secure, so please do not send sensitive documents or identifiers by ordinary unencrypted email — ask us for a secure upload link instead.
We retain client records for as long as needed to provide services and to satisfy our professional, tax and legal record-keeping obligations, which for tax engagements is generally a minimum of seven years. After that period we securely dispose of records that are no longer required.
Your rights and choices
Depending on where you live, you may have rights over your personal information. California residents have rights under the California Consumer Privacy Act, as amended by the CPRA, which may include:
- The right to know what personal information we have collected about you and how it is used and shared.
- The right to request deletion of personal information, subject to exceptions where we must retain records to meet legal or professional obligations.
- The right to correct inaccurate personal information.
- The right not to receive discriminatory treatment for exercising any of these rights.
We do not sell or share personal information as those terms are defined under the CCPA. To make a request, email jayesh@taxandbiz.com. We will verify your identity before acting on any request concerning personal or financial records.
Children's privacy
This website is not directed to children, and we do not knowingly collect personal information from children through it. Where a client engagement legitimately involves information about a dependent — for example a dependent claimed on a return — that information is handled under the same confidentiality terms as the rest of the engagement.
Changes to this policy
We may update this policy to reflect changes in our practice, our tooling, or the law. When we do, we will revise the date shown alongside this page. Material changes affecting how we handle client information will be communicated directly to affected clients.
